Request Grand County Court Records

Start with the clerk of the state trial court in Grand County. That office holds Grand County court case records: the register of actions, pleadings, orders, judgments, and authenticated copies. The free court docket is enough to locate a hearing, but it will not show you the complete case file. So your first move is to pin down the exact case and document you need, then let the clerk route your request for inspection, mail, phone, email, or online access under Colorado court-access rules. Two limits are worth knowing early. Municipal files stay with the issuing town, and county administrative records sit with a different elected office.

Grand County Court Record Requests

The Grand County Clerk of Court keeps County Court and District Court case files at the Grand County Judicial Center. You can start a request several ways. Use the statewide Judicial Record and Document Request, email GrandRecordsRequest@judicial.state.co.us, visit the counter at 307 Moffat Avenue, mail P.O. Box 192, Hot Sulphur Springs, CO 80451, or call 970-725-3357. The clerk handles inspection during court hours. Call ahead before counting on a research terminal.

Give the clerk the court location, party, year, case class, sequence, and the exact item. Want the timeline of a case? Ask for a Register of Action. Want the words of a complaint, motion, order, or judgment? Ask for that filing. Mark certification only when you need clerk authentication. Expect a response in three business days, and up to seven more business days for extenuating circumstances under the current access directive.

Grand County Three-Record Layers

A court docket, a filed paper, and a certified copy answer three different questions. The free docket is a calendar of settings. An ROA is a chronological event index. It carries a brief case summary. A filed paper holds the actual language of a complaint, motion, order, or judgment. A certified or exemplified copy adds clerk authentication.

A vendor screen is not an official Grand County court record, and it shows no document images. For the authoritative copy, go to the clerk.

Kinds of Court Records

The request form lists common Grand County records by case type. Criminal options run from the complaint or information. They extend to the disposition and sentence order, protection order, and ticket. Civil options include an order for judgment. Also included are a transcript of judgment and certificate of satisfaction. Domestic records cover divorce decrees, parenting plans, separation agreements, and support orders.

Probate choices include letters, wills, trusts, applications, petitions, closings, claims, and date-of-death information. The form also permits an ROA. It allows certification or exemplification and an Other description. The menu helps narrow a request. It does not promise public access to each selected item.

Grand County Clerk Record Route

Heather J. Harms serves as Grand County Clerk of Court, Jury Commissioner, and Probate Registrar. Her Judicial Branch office holds one job. It keeps the combined state trial-court files. The elected Grand County Clerk and Recorder sits at 308 Byers Avenue. That office is a different custodian entirely. It handles land, elections, motor vehicles, licenses, and vital records. It cannot certify a County Court or District Court judgment.

Municipal ordinance and town traffic files take another route. Each municipal court keeps its own record until an appeal or other state proceeding creates a separate state-court file.

Grand County Record Custodian Check

Three public offices stand in Hot Sulphur Springs. They are easy to confuse. The Grand County Clerk of Court keeps state trial-court cases. The elected Clerk and Recorder is separate. It keeps county administrative and recorded documents. A municipal clerk keeps the town's ordinance and municipal traffic cases.

Start with the caption, court stamp, or citation. It tells you the right custodian. That office can inspect, copy, or certify the record. Offices standing close together do not merge their files or legal authority.

Court Records: What They Contain

Contents depend on the product. The official free schedule exposes only setting fields. The request form defines an ROA as a brief case explanation that may include charges, sentences, and minute orders. Fields such as attorney, balance, bond, party role, or linked document go beyond what the official schedule promises.

DocketDate, time, duration, caption label, case number, hearing type, location, appearance type, and courtroom.
ROAA chronological case summary, including items such as charges, sentences, and minute orders.
Filed paperThe actual pleading, motion, order, judgment, or other requested document.
CertificationClerk authentication attached to the requested copy.
TranscriptA written account of a proceeding obtained through the separate transcript route.

Enter case-number details as year, class, and sequence. More facts can reduce name-search and research work.

Grand County Record E-Filing

Colorado Courts E-Filing covers civil, criminal, domestic, water, probate, and appellate filings. It is a filing system, not an unrestricted public record viewer. The official page illustrates the attorney-facing electronic channel.

Grand County court records Colorado Courts E-Filing access

A filing sent through CCE is not automatically public, and an email filing is not filed until court staff accept and upload it.

Self-represented parties can use the nonattorney e-filing route for documents in their own accepted cases after enrollment. The official page records that access path and its processing context.

Nonattorney e-filing access opens within two business days and then works around the clock, but only in the party's accepted case. To see another case's court records, file a public request with the clerk instead.

Copy Fees and Certification

Grand County court copy charges follow the statewide court-record fee directive. A plain copy costs $0.25 per page. Copies for a party or the party's own attorney are capped at $15 per case. There is no nonparty maximum. Certification and exemplification authenticate a copy and add a charge by document.

ItemOfficial fee
Copy$0.25 per page
Party or own attorney copies$15 maximum per case
Nonparty copy maximumNone
Name search$5
Transcript of Judgment$25
Certificate of Satisfaction$20
Certified or exemplified copy$20 per document
Off-site retrievalActual cost
Research or redaction$30 per hour in 15-minute increments after the first hour

Fees can be waived when CJD 06-01 or C.R.S. section 13-32-104(1)(a) requires. The form does not state all payment methods. Get an estimate and instructions from the clerk.

Grand County Court Record Judgment Terms

A Transcript of Judgment is not a hearing transcript. It sounds like one. The clerk issues it as a civil judgment record, and it carries a fee of its own. A Certificate of Satisfaction sits in the same family but records that a judgment has been satisfied.

Spoken proceedings are another product entirely. Order that written transcript through the reporter or transcription channel; the official transcript request page lays out that route, which keeps the two senses of "transcript" from blurring.

Chief Judge Order 19-02 bars digital recordings in the Fourteenth Judicial District. Ask for the written transcript through the published channel instead.

Access Rules for Court Records

Colorado court records answer to Chief Justice Directive 05-01. That directive sets their security categories too. Its landing page holds the current text, and amendments continued through November 10, 2025.

Grand County court records current public access directive

A case file is not a CORA matter. Judicial records answer to CJD 05-01, to relevant Colorado Criminal Justice Records Act provisions, and to the Judicial Branch request process. PAIRR Rule 2 plays no part here. It governs Judicial Branch administrative records, not the merits documents of one case.

Protected material may be released after required redaction. Restricted, suppressed, or sealed material requires authority under the rule, statute, or court order.

Grand County Restricted Record Requests

Juvenile, probate, protected, suppressed, confidential, or sealed records may require government photo identification and proof of authority. Redactions come first for remote access. Social Security, driver-license, personal identification, account, passport, student identification, and tax-identification numbers all get stripped before remote viewing. A gap online proves nothing. Adoption records follow their own confidentiality rules. The Judicial Branch adoption-record guide details authorized access and how identity or relationship verification works.

Grand County court case records adoption confidentiality access

Hand the request to the clerk and let the access review run its course. Don't try to bypass identity gates or sealed-case controls.

Grand County Older Record Costs

Old files often sit in off-site storage. Retrieval bills at actual cost. Research or redaction runs $30 per hour after the first hour, charged in quarter-hour increments. You can trim that bill. Give the clerk the court, filing year, class, sequence, parties, and document name.

A narrow ask usually beats requesting the whole file. When the ROA shows an order was entered, request that order alone. If official use requires authentication, ask for certification at the same time. For a setting only, skip the fee. The free Grand County docket search saves you from paying for a full record you don't need.

Grand County Record Request Checklist

Sort out your goal first. Inspection, a plain copy, a certified copy, and a transcript each take a different path. The Grand County record-request contact takes those details. The state form accepts first, middle, and last names, business name, contact details, address, case number, type, filed year, county, party information, and other identifying facts.

  • State the Grand County court location and case number when known.
  • Name the exact ROA, pleading, order, judgment, or transcript.
  • Choose certification only when authentication is required.
  • Include identification when the form warns access review may require it.
  • Wait for the clerk's fee estimate and payment instructions.

Finding a case differs from obtaining its official contents.
